The best gas certificate software, and how to choose it.

Gas certificate software is the app a Gas Safe registered engineer uses to produce CP12s and other records on site. There’s no one “best” tool for every gas engineer, the right choice depends on your trade mix, team size and budget.     The best tools are shaped around the CP12 and related gas records, not a generic job app with a certificate bolted on. Look for appliance registers, defect handling and the actual check flow an engineer follows.

    Lofts, basements and vans rarely have signal. Capture readings, photos and signatures offline and sync later, anything that needs a connection to save the job will fail you on the doorstep.

  • 3. Compliant, tamper-evident records

    A gas safety record is valid 12 months. Software that tracks next-due dates and chases renewals for you, rather than leaving it to a spreadsheet, is where the real time saving lives.

  • 5. Easy import and no lock-in

    You should be able to bring your customers and properties in from a CSV, and get your data back out via an API or export. Avoid tools that make leaving hard.

  • 6. Fair, transparent pricing and a real trial

    Published per-engineer pricing and a genuine trial (ideally no card) let you judge a tool on your own jobs. Be wary of quote-only pricing you can't compare.

  • 7. Tenant and landlord delivery

What is the best software for gas certificates?

There's no single answer, it depends on whether you want a gas-only tool or a multi-trade suite, and on your team size and budget. Judge any option against the same checklist: Gas Safe focus, offline capture, compliant records, automated renewals, easy import and no lock-in, transparent pricing, and tenant delivery. Is there free gas certificate software?

Be careful here: a valid Landlord Gas Safety Record (CP12) can only be issued by a Gas Safe registered engineer after an in-person check, no free 'template generator' can produce a legally valid certificate on its own. Free tools can help you work out renewal dates or preview a format, but the certificate itself comes from a registered engineer. How much does gas certificate software cost?

What should CP12 software actually do?

At minimum: let you complete the gas safety check on site (offline), generate an immutable CP12 and related records as branded PDFs, store them against the property and appliances, remind you when renewals are due, and deliver the record to the tenant or landlord. Anything beyond that, payments, an open API, a landlord portal, is a bonus that depends on your business.
