There’s no one “best” tool for every gas engineer, the right choice depends on your trade mix, team size and budget. Here are the seven things that separate software that saves you evenings from software that just moves the paperwork onto a screen.

Score every tool you try against these. The order roughly tracks how much each one affects your day.
The best tools are shaped around the CP12 and related gas records, not a generic job app with a certificate bolted on. Look for appliance registers, defect handling and the actual check flow an engineer follows.
Lofts, basements and vans rarely have signal. Capture readings, photos and signatures offline and sync later, anything that needs a connection to save the job will fail you on the doorstep.
Records should be immutable once generated and produce clean, branded PDFs for landlords and tenants. That's what makes the software your system of record, not just a form filler.
A gas safety record is valid 12 months. Software that tracks next-due dates and chases renewals for you, rather than leaving it to a spreadsheet, is where the real time saving lives.
You should be able to bring your customers and properties in from a CSV, and get your data back out via an API or export. Avoid tools that make leaving hard.
Published per-engineer pricing and a genuine trial (ideally no card) let you judge a tool on your own jobs. Be wary of quote-only pricing you can't compare.
For landlord work, getting the record to the tenant within the legal window matters. Secure links and a landlord/agent portal turn delivery from a chore into a click.
