These terms govern Manifold, the gas engineer software operated by Easy Insight Limited, and this website, including accounts created during early access. By creating an account, signing in, or using the service, you agree to them on behalf of the business you work for. If your business has signed a separate agreement with us (for example an early-access agreement), that agreement prevails where the two differ.

Who provides Manifold

Manifold is provided by Easy Insight Limited, a private limited company registered in England and Wales (Company No. 15217860). Registered office: 81 Milton Road, Portsmouth, Hampshire, PO3 6AL, United Kingdom.

Early access

Manifold is in active development. Early-access features may change, be added or be withdrawn, and we can't promise specific timing for availability or any particular capability. We will tell you about material changes that affect how you work.

What Manifold is and isn't

Manifold is a workflow and record-keeping tool for trade field work, such as gas, plumbing and heating. It is not a regulator and does not certify, approve or guarantee compliance. Regulated work must be carried out by an appropriately qualified and registered engineer (for gas work, a Gas Safe registered engineer), and the professional judgement on site stays with that engineer.

Where Manifold reads a value from a photo (for example a flue-gas analyser reading or an appliance data plate) or drafts text, it offers a suggestion to save typing. An engineer or office user must review and confirm every value before it is saved, and your business is responsible for that review. Nothing unconfirmed reaches a record.

Your account

  • Use the service lawfully and only for your own business.
  • Keep your team's sign-in credentials confidential, and tell us promptly if you suspect an account is compromised.
  • Keep the email address on your account current: it is where notices about the service and these terms go.
  • Make sure the data you enter is accurate and that you are entitled to enter it.
  • Don't attempt to probe, overload or bypass the service's security or tenant isolation, introduce malicious code, or access areas you're not authorised to.
  • You remain responsible for your own statutory and safety obligations and the decisions of your engineers. Manifold supports your record-keeping; it does not take over any duty you or your engineers hold.

Fees

Early-access pricing is shown on the pricing page. Where an account is free or on an introductory rate, we will give at least 30 days' written notice before fees start or increase. Fees are billed through Stripe and are exclusive of VAT unless stated.

Your data

The records your team enters (customers, properties, appliances, checks, certificates, photos, signatures) belong to your business, not to us. We process them only to provide the service, as described in our privacy notice. Export tools (PDFs, CSV exports and a read-only API) are self-service at any time. Issued compliance certificates are retained under our record-retention policy (for gas-safety certificates, currently 6 years, informed by HSE guidance and how long a safety record may be needed), and the product enforces that retention.

Our software, your feedback

The Manifold software and everything in it that we built belongs to Easy Insight. If you send us feedback or suggestions, we may use them to improve the product without obligation or charge; this never gives us any right in your business's records.

What we do not promise

Early access comes without a service-level agreement. We do not promise a specific uptime, response time or feature roadmap. We work to keep the service available and your data safe, and you can export your data at any time.

Suspension

We may suspend access, in whole or part, if we reasonably believe it is necessary to deal with a security threat, unlawful use, or a breach of these terms that risks the service or other customers. We give notice where practicable, keep any suspension as narrow and short as we reasonably can, and restore access once the issue is resolved.

Ending the agreement

You can close your account at any time, and either party can end the agreement with 30 days' written notice (email is fine). We can end it immediately if you materially breach these terms and don't fix the breach within 14 days of being told about it. On exit, export your data first; we then delete workspace data as the privacy notice describes, except issued compliance certificates (kept under our record-retention policy) and anything we must keep by law.

Liability

Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited, including liability for death or personal injury caused by negligence, or for fraud.

Subject to that:

  • neither party is liable to the other for loss of profit, loss of business or business opportunity, loss of goodwill, or any indirect or consequential loss, however arising;
  • our total liability to your business, in contract, tort (including negligence) or otherwise, is capped at the greater of the fees you paid in the 12 months before the event giving rise to the claim and £100;
  • your business remains responsible for compliance with the safety and record-keeping law that applies to your work, and for your engineers' professional decisions. We are not liable for loss arising from a value or suggestion that Manifold offered and your team saved without the review these terms require;
  • nothing in this section limits your obligation to pay fees due.

Changes to these terms

We may update these terms as the product develops. If a change is material, we will give at least 30 days' notice by email or in the app before it takes effect; continuing to use the service after that date means the updated terms apply. The date at the top of this page shows the current version.

General

These terms are the whole agreement between us about the website and the service, unless your business has a signed agreement with us. Neither party may transfer the agreement without the other's consent, except that we may assign it within a group reorganisation or a sale of the Manifold business, on notice and on the same terms. No one other than you and us has rights under these terms. Neither party is responsible for delay or failure caused by events reasonably beyond its control.

Governing law

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction over any dispute arising from them.
