What is the ACS gas portfolio of evidence?

It is the evidence file proving you have done real gas work under supervision before you sit ACS assessments. Awarding bodies set the requirement in supervised weeks and hours rather than a national job count: BPEC's Domestic Gas Foundation, for example, asks for a minimum of 18 weeks, 675 hours, of on-site experience.

Everyone entering the trade through a managed learning programme or an apprenticeship hits the same wall at roughly the same point. The classroom weeks go fine, the workshop rigs go fine, and then someone says “now build your portfolio” and nobody is entirely clear what that means, how much of it there is, or who is supposed to provide the work. Most of what is written about it comes from people selling courses, which is why the numbers you find online rarely agree. This guide sticks to what awarding bodies actually publish, and is explicit about where the requirement is set locally rather than nationally.

What is the portfolio actually for?

ACS assessments test whether you are competent on the day. The portfolio is what gets you through the door to sit them. It is the evidence that you have spent real time on real appliances in real properties, under the supervision of a Gas Safe registered engineer, rather than only on training rigs. That distinction is the whole point: a rig never has a seized union behind a kitchen unit, a customer standing over you, or a flue that turns out not to terminate where the survey said. The assessment centre needs to see that you have met the messy version before it assesses you on the clean one.

Which candidates need a portfolio?

The ACS world sorts candidates into categories, and the portfolio requirement follows the category rather than the person. Broadly, an operative already qualified and working is coming back for reassessment and does not build a new portfolio. Someone holding a related qualification but without current assessed gas experience, and someone arriving with no gas qualification at all, are the ones who do. BPEC describes its own candidate portfolio as covering the managed learning programme for Category 2 and 3 ACS candidates, which is the same population in scheme language. If you are a career changer or an apprentice, assume you are building one.

What counts as evidence?

  • Records of gas work you carried out on site, under supervision, with the date, the address or job reference, the appliance and what you actually did on it.
  • Witness testimony from the Gas Safe registered engineer supervising you. LCL Awards is explicit that on-the-job experience is gained under a registered installer acting as the candidate's mentor, who provides witness testimony for the work entered in the portfolio.
  • Coverage across the range, not thirty repeats of the same job: tightness testing, pipework, ventilation checks, flue inspection, safety device testing, purging and relighting, fault finding, and appliance work in each category you intend to be assessed in.
  • Supporting evidence that makes a job legible later: analyser printouts, gauge readings, photographs of the installation at the stages that matter, and the paperwork issued.
  • Off-the-job training records too. Centre-based learning is logged alongside the site work, not instead of it.

How much supervised work does it take?

This is where honest answers get uncomfortable, because there is no single national figure and anyone quoting you one is quoting their own centre. The published requirements are expressed in time, not jobs, and they differ by awarding body. BPEC's Domestic Gas Foundation states a minimum of 18 weeks of on-site industry experience, which it works out as 675 hours based on a 37.5-hour week, alongside a minimum of 266 guided learning hours of off-site training. Other awarding bodies structure their managed learning programmes differently and set their own minimums. Treat any figure, including that one, as belonging to a specific route: get your own awarding body's published requirement in writing before you plan around a number.

Where do the job counts you see online come from?

From centres, mostly, and they are useful as a sanity check rather than a rule. A course page saying “around thirty to forty jobs” is describing what its own candidates typically log to satisfy the time and coverage requirements, not a scheme threshold. Two candidates can hit the same published hours with very different job counts, because a full installation with a survey, a commissioning and a handover carries far more evidence than a straightforward service. Chase coverage and quality first: an assessor who can follow what you did, why, and what you found, on a spread of appliance types, is looking at a portfolio that works. A stack of near-identical entries is not.

How do you get the site experience in the first place?

Through an employer, if you are an apprentice

The site experience is the employer's to provide, and that is the single largest structural advantage of the apprenticeship route. Your job is to log it properly as it happens.

Through the provider's placement arrangements, if they have any

Through a supervising engineer you find yourself

The most common route for career changers. A local registered engineer takes you out as an unpaid or low-paid second pair of hands and signs off your work. Approach it as a job application, not a favour.

By keeping the arrangement documented from day one

Your supervisor's registration details, the scope you are working within and their sign-off need to be captured per job, not reconstructed from memory in month nine.

One rule sits above everything here. A trainee may only carry out gas work under the supervision of a qualified engineer working for a Gas Safe registered business, and the registered business is responsible for that work. Portfolio evidence gathered outside a supervised arrangement is not evidence, it is unregistered gas work.

How long do you have to complete it?

Longer than most people expect, but not indefinitely, and the deadlines that catch candidates out are usually the ones attached to certificates rather than to the portfolio itself. BPEC, for instance, puts a 12-month expiry on its Gas Foundation certificate, so the ACS assessments that follow it need to be sat inside that window. ACS certificates themselves then run on the familiar five-year reassessment cycle once you hold them. Ask your centre two dates at enrolment: how long you have to complete the portfolio, and how long the qualification it leads to stays valid before the assessments must be taken.

What makes a portfolio fail?

  • Thin entries. “Serviced boiler, Tuesday” tells an assessor nothing. What appliance, what readings, what did you find, what did you do about it.
  • No spread. All servicing and no installation, or nothing at all in a category you have booked an assessment in.
  • Evidence gathered late. Reconstructing six months of jobs from memory the week before submission produces exactly the portfolio it sounds like.
  • Missing supervisor details. Every entry needs the supervising engineer identifiable and their sign-off attached.
  • Photographs that prove nothing. A picture of a finished boiler case is decoration. A picture of the tightness test gauge, the flue termination or the gas rate is evidence.

How do you keep the evidence straight while you work?

By capturing it on the job rather than at the kitchen table afterwards, which is the same habit the trade runs on once you are registered and issuing records for real. The portfolio is your first exposure to a discipline you never stop needing: what you did, when, on what appliance, with the readings and the photographs attached, findable months later without a search through a van full of paperwork. How long does the portfolio take to complete?
