Van stock for gas engineers: what to carry and how to organise it

Enough to finish the jobs you do most, without turning the van into a warehouse. In practice that means consumables and test kit, the common spares for the appliances you see weekly, and a restock habit that replaces what each job uses. Everything else is parts on demand from the merchant, ordered against the specific job.

Two engineers can drive identical vans and run completely different businesses out of them. One finishes jobs first visit because the part is in the third bin on the left; the other loses an hour a day to merchant queues and return trips. Van stock is not glamorous, but it quietly decides first-time fix rates, dead time, and how much billable material never makes it onto an invoice. Here is what engineers actually carry, how to organise it, and how to decide between stocking up and buying parts on demand.

What does a gas engineer actually carry?

Less than customers imagine and more than the van looks like it holds. The exact list depends on the work you take, which is the honest answer to every version of this question, but most working setups resolve into four layers:

  • Test and safety kit: the flue gas analyser, manometer, leak detection fluid and the calibration-dated instruments the job depends on. This layer is not negotiable and never gets lent out.
  • Consumables: PTFE tape, jointing compound, olives, washers, test point screws, flux, solder, cable ties. Cheap, used constantly, and the fastest way to lose a first-time fix when one runs out.
  • Common spares: the parts your regular appliance makes go through, thermocouples, ignition electrodes, filling loops, pressure gauges, the repair kits for the boilers your patch is full of. This is the layer worth tuning with real usage data.
  • The job-specific layer: parts ordered against a diagnosed fault, collected or delivered on demand. This layer belongs to the job, not the van, and it should be billed to the job too.

Should you stock up or buy parts on demand?

Both, deliberately. Stocking up wins first-time fixes: the thermocouple fitted from the van turns a diagnose-and-return into a single visit, which is the most valuable hour-saver in the trade, and the difference the customer actually remembers. But stock ties up cash, fills a finite van, and drifts out of date as the local housing stock's boilers change. Parts on demand keeps your money in the bank and your effective range infinite, at the price of a second visit or a merchant detour on every job that needs anything beyond consumables. The deciding evidence is your own usage. A part you fit most weeks earns its bin; a part you have carried unfitted for a year is cash bolted to the van floor. How do you organise van stock so parts are findable?

Give every item one home

Bins, racking or trays matter less than the rule: one item type per labelled place, so the search is a glance, not an excavation. If more than one person shares the system, the labels are the system.

Keep a stock list that is the truth

Restock on a rhythm

End of day or end of week, replace what jobs used, against the list. Little and often beats the quarterly megashop, because the megashop happens after the stockout, not before it.

Cull as deliberately as you stock

Anything unfitted for months goes back to the merchant or onto the shelf at home. Van space is the scarcest warehouse in the business, and dead stock pays no rent.

How do you stop parts leaking out of your invoices?

Record parts at the job, on the job, or accept that some of them will never be billed. The failure mode is universal: the part is fitted, the day moves on, and at invoicing time the office reconstructs materials from memory and a glovebox of merchant receipts. Does van stock matter for tax and insurance?

Enough to be worth a sentence each. Materials bought for jobs are business records HMRC expects the self-employed to keep, so a parts trail that ties purchases to jobs makes your bookkeeper faster and your figures defensible. And a van full of stock and tools is a concentrated risk: tools cover is its own line on a trades policy, usually with strict conditions about vans left unattended overnight, so tell your insurer what the van actually holds rather than what it held when you first insured it.
